Assignment 1 of 6

Leadership and project management

One week as project manager of my group: agenda, notes, tasks and follow-up.

In progressSep to Nov 2026

Started with the project-management class in week 1.2. My week as project manager is still to be planned with the group.

The brief

Take responsibility for the project management of my project group for at least one week. Prepare the meetings with an agenda and notes, document the tasks with their requirements (quality, deadline) and assign them, and follow up until every task is done. The Scrum board in Teams is the tool this year. Add my 360-degree feedback forms from the ateliers and reflect on them.

  • At least one week as project manager
  • Agenda and notes for every meeting
  • Tasks with an owner, a deadline and a quality requirement
  • Follow-up until everything is done, with feedback where needed
  • 360-degree feedback forms from the ateliers, plus reflection

My approach

  1. 1

    Claim a week early

Agree with the group which week is mine before the client work gets busy. Read the client brief again and list what has to be done that week.

  2. 2

    Agenda the evening before

One agenda per meeting, posted in Teams the evening before. Goal of the meeting, the points, who owns each point, and minutes per point.

  3. 3

    Tasks on the Scrum board

Every task gets an owner, a deadline and a one-line quality requirement. If we can't check whether a task is done, it is not a task yet.

  4. 4

    Notes within the hour

Short notes after every meeting: decisions, open points, who does what by when. Sent the same day so nobody has to remember.

  5. 5

    Follow-up midweek

A check on every open task halfway through the week. Feedback the way we learned it in year 1: specific, about the work, with a next step.

  6. 6

    Compare with the 360 forms

Collect the feedback forms in the atelier and put them next to what I think about my own week. The gap between the two is the reflection.

Reflection

Reflection tool: STARR

Written after my project-management week and the 360 feedback.

Situation, Task, Action, Result, Reflection. It fits a week with a clear start and end.

  1. 1Situation: which week, which client, what was on the board.
  2. 2Task: what I was responsible for, and what the team expected from me.
  3. 3Action: what I actually did differently from a normal week.
  4. 4Result: what got done, what slipped, and what the 360 forms said.
  5. 5Reflection: what I keep doing, and what I would start earlier next time.
